  • Logistical Questions

Hi all! We have a few logistical questions since our school needs us to plan our team's travel and stay before summer break starts in two weeks.

    1. Have there been any updates about what hotel has been chosen?
    2. Will there be a limit on the number of people each team can house in the hotel? If we exceed that limit, where should we stay instead?
    3. What is the schedule of the competition - most importantly, what dates do teams tend to arrive and leave - so we can book flights?
    4. Where can we ship items early, and beginning on what date will that location be open?

Thanks in advance for any answers you can give us, and we're excited to see everyone this summer!

      HI Duke Robotics Club,

Thanks for posting these questions on our forum! I am happy to be able to post the answers we have and promise that we will be able to share the rest of the answers as soon as we have a signed hotel contract.

      1. Have there been any updates about what hotel has been chosen?

RoboNation is currently in the contract phase for our competition hotel. The proposals that we received from across San Diego were some of the highest priced that we have seen in the last 7 years, so this year, we had to look a little further inland to find good rates that were affordable. We expect the rates for teams to be $159 per night plus tax (12.7%) for quad occupancy. This rate will include free wifi, overnight pool usage, and parking (which is a perk that we haven't had the last few years).

Once a contract is signed, we will announce the winning hotel and put a reservation link on the website. I expect to have reservation information to you next week.

      2. Will there be a limit on the number of people each team can house in the hotel? If we exceed that limit, where should we stay instead? There is no official limit on the number of students that can stay at the hotel as long as the hotel has available rooms. Our room block should be large enough to house all our teams. There is a limit on the number of students in one room - 4.

      3. What is the schedule of the competition - most importantly, what dates do teams tend to arrive and leave - so we can book flights? Official competition dates are July 29 - August 4. Team orientation will be on July 29 and the finals / award party will be on August 4. All the days in between will include in-water practice days and qualifying runs. Teams are expected to be on-site during the entire competition. It is completely up to the team what days they arrive and leave - some want to come early in case there has been some damage to their sub in shipping, others arrive one day early / some teams leave a day or so after the competition so they can sightsee and others leave right away.

      4. Where can we ship items early, and beginning on what date will that location be open? We have made arrangements for teams to be able to ship to the competition hotel. Shipments can arrive no earlier than July 22nd and shipment must be picked up by your shipper before you check-out of the hotel or no later than August 6. Shipping logistics information will be sent out as soon as our hotel contract is finalized.

The RoboNation team is working hard to gear up for the best RoboSub ever and we look forward to seeing you in San Diego!
